The real cost of “making do”

Sound familiar?

Patching the business together costs real money: unbilled walks, missed fees and unpaid hours of admin, quietly adding up all year.

Typing every walk into a spreadsheet or QuickBooks at the end of the month.

Invoices build themselves from completed walks. Billing is done before you get home.

Chasing overdue payments with awkward “just following up” texts.

Reminders send themselves. You get paid on time without asking.

A client cancels 30 minutes before the walk. You have already driven there.

Late cancellation fees apply automatically under your policy.

Client messages buried in WhatsApp between family group chats.

Every conversation sits next to that client's walks and invoices.

Holidays scribbled in a diary, then a dog gets collected anyway.

Client holidays pause walks and invoices automatically.

Solo walks and group walks juggled across a paper diary.

One calendar for group walks, holidays, cover and capacity.

Scheduling & group walks Your whole week, planned in one place

Recurring walks, group walks, holidays and cover, all on one calendar built for how walkers actually work. No more paper diary. No more “did I double book Tuesday?”

  • Group walks with capacity limits per walk
  • Client holidays pause walks and invoices automatically
  • Leave-by times from saved walk-spots and live drive times
BearWalk's dog walking schedule calendar: a week of group walks with completed, scheduled and cancelled statuses, including a late cancellation with its fee applied
BearWalk's dog walker invoicing screen: outstanding, overdue and paid totals, average time to pay, and invoices with viewed, overdue and paid statuses

Invoicing & payments Invoices that send and chase themselves

Every completed walk lands on the right invoice automatically. Clients pay you directly by card or Direct Debit, and reminders go out without you writing a single “just following up” text.

  • Cards & Direct Debit. Money goes straight to you
  • Zero commission. BearWalk never takes a cut of a walk
  • Automatic reminders for overdue invoices

Cancellation fees & client portal The awkward money chat, handled by software

A client cancels 30 minutes before the walk and you have already driven there. Set your cancellation window and fee once; BearWalk applies it every time, politely and consistently. Clients see everything in their own portal.

  • Your policy, enforced. Fees land on the next invoice
  • Client portal. Walk log, photos, invoices and messages
  • Fewer “how was it today?” texts. The log answers for you

Your admin assistant Ask BearWalk to sort the admin

BearWalk has a built-in assistant you talk to in plain English. Ask it to book, move or cancel walks, set up recurring schedules, add clients and dogs, or answer questions about your day. It reads your real data and never invents a price.

  • Books, moves and cancels walks and applies your cancellation policy when it does
  • Sets up recurring schedules and adds new clients and dogs for you
  • Answers questions about your day from your own clients, walks and invoices

An owner feature, inside BearWalk. No extra tools, no copy-pasting between apps.

And the rest

Everything else a walking business needs

Clients & dogs in one place

Access codes, temperament, vet details and signed agreements in one profile per dog, not a drawer of sticky notes.

Rounds, not appointments

BearWalk groups your day into morning and afternoon rounds, orders your pickups and maps the route with drive times: collect, walk, drop.

A walker app for the round

Log starts, attendance, notes, toilet breaks and photos from your phone as you go. The office stays on the web.

Messages out of WhatsApp

Client conversations live next to their walks and invoices, not buried between family group chats.

Revenue at a glance

Today's takings, monthly projections and what is still outstanding. Know what you earn, week to week.

Reports & accountant exports

Collected and projected income by week or month, plus invoice PDFs and CSVs your accountant will actually accept.

Walk log with photos

Times, pickups and photos in a tidy log clients can check themselves. Professional, never a live map.

Holidays & cover

Client holidays pause walks; your holidays reassign them. Teams hand walks over without a spreadsheet.

Grows with your team

Start solo and add walkers later. Assign walks, track who walked what, keep one set of books.

No commission on your walks

Some platforms take 20% or more of every walk, forever. On £1,500 of walks a month, that's £300 gone before you've bought a lead. BearWalk is one flat monthly price, about what you'd charge for a single walk, and every penny your clients pay is yours.

Payments

Card payments and Direct Debit through Stripe are built in and being enabled during the private beta. Invoices already track exactly what each client owes, and you can record payments as they come in.

Frequently asked questions

What is BearWalk?

BearWalk is dog walking software for independent UK walkers. It sorts the business side: scheduling, group walks, automatic invoicing, card and Direct Debit payments, client messaging, holidays, cancellation fees and a client portal, replacing WhatsApp, spreadsheets, QuickBooks and Google Calendar with one app.

How much does BearWalk cost?

Solo is £19/month (or £15/month billed annually) for one walker with unlimited clients. Team starts at £29/month (or £23/month billed annually), includes two walkers, and extra walkers are £6/month each. Every plan includes every feature: no commissions, per-walk fees or client limits.

Does BearWalk take commission on my walks?

No. Zero commission, ever. BearWalk is a flat monthly subscription that costs about the same as one walk. A platform taking 20% of a £1,500 month costs £300, every month. Your clients pay you directly, and the money from your walks is yours.

How do my clients pay?

Directly to you, as they do now. Invoices track exactly what each client owes and you record payments as they arrive. Card payments and Direct Debit through Stripe are launching during the beta.

Can I charge late cancellation fees automatically?

Yes. Set your notice bands once. For example, less than 24 hours' notice → 50% fee. When a client cancels inside a band, they see the calculated fee before confirming, and it lands on their next invoice automatically. You can waive any fee case-by-case.

What can the BearWalk assistant do?

BearWalk has a built-in assistant you talk to in plain English. Ask it to book, move or cancel walks (it applies your cancellation policy), set up recurring schedules, add clients and dogs, or answer questions like "what's on today?" and "who still owes me money?". It works from your own data and never invents a price, and it's there to speed up admin, not replace your judgement.

Is BearWalk for solo walkers or teams?

Both. Start solo and add walkers when you grow: assign walks, track who walked what and keep one set of books. The Team plan includes two walkers, with extra walkers £6/month each.

I'm just starting my dog walking business. Is BearWalk for me?

Yes, that's one of the best times to start. Add your first clients, their dogs, addresses and access notes, build your weekly schedule and invoice properly from walk one. You look organised and professional from your first client, instead of untangling WhatsApp threads and spreadsheets later.
