What every invoice should explain
Clients should be able to answer three questions immediately: what is this for, how much do I owe and when is it due? Everything else on the invoice exists to keep those three answers unambiguous.
- A sequential invoice number: it makes your records auditable and your follow-ups precise.
- Your business name and contact details (as a sole trader, your own name and address is the norm).
- The billing period and every walk in it, with dates.
- Any fees (late cancellations, no-shows) as their own labelled lines.
- The due date, stated as a date rather than “on receipt”.

A single monthly total is quick, but walk-level detail reduces disputes and helps clients understand cancellation fees. Nobody remembers whether the 3rd of last month was walked; the invoice should remember for them. Do I need to charge VAT?
Only if you are VAT-registered, which most independent walkers are not. Registration is only compulsory above the VAT turnover threshold. If in doubt, ask an accountant.
Should I invoice before or after the walks?
After (in arrears) is the norm for dog walking, because real weeks change. Invoicing what actually happened means no correction emails.
What payment terms should I use?
Seven days from issue. It is polite, standard, and short enough that overdue invoices get caught while the walks are still fresh in memory.
